Job Description

Summary of Position:

Manage the office's activities, including day-to-day operations. Report directly to the CFO/Executive Director to ensure the systems work correctly, all invoices are paid, and checks are posted. This role will grow to carve out a long and exciting career with the 60+ year-old company.

Responsibilities:

  • Manages all accounting-related matters, including AP and AR, and reconciles monthly bank statements.
  • Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
  • Verifies and completes payment of invoices associated with accounts payable, ensuring proper posting of accounts.
  • Ensures invoices are paid promptly and accurately while adhering to departmental procedures.
  • Manages, records, and processes financial transactions, including all bank deposits and merchant transactions.
  • Updates and closely monitors accounting databases.
  • Assists and forecasts annual department budgets.
  • Uploads bank fraud protection monitoring files and reviews approves or denies exception reports.
  • Coordinates with software vendors to maintain accounting software systems; recommends updates to enhance the accounting software.
  • Leads development and implementation processes for the organization’s IT systems.
  • Establishes efficiency and efficacy standards, providing recommendations for improvement of IT infrastructure.
  • Oversees computer technical support between users and external IT vendors.
  • Maintains office supplies and equipment and works with other departments on stock needed.
  • Reviews and negotiates with vendors regarding contracts and agreements.

  • Excellent verbal, written, and non-verbal communicator.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to adapt to the needs of the organization and employees.
  • Ability to prioritize tasks and delegate them when appropriate.
  • Proficient with Microsoft Office Suite and knowledge of Sage Business Works or other accounting software.
  • Understanding of budgetary and accounting principles, practices, and policies.
  • Proficient in the latest technology for IT systems, software, and equipment.

Qualifications:

  • A bachelor’s degree is strongly preferred.
  • At least five years of office management experience or an equivalent combination of education and experience is required.
