Job Title: Administrative & Finance Coordinator

Location: Green Tree, PA

Pay Rate: Up to $65,000/year

Job Type: Full Time

About the Role

Our client, located in Greentree, PA, is a fast-paced and growing small engineering company seeking a proactive and versatile Administrative & Finance Coordinator to support their leadership team and streamline operations. This role is designed to offload essential administrative and finance-related tasks from senior staff, ensuring their engineers and executives can focus on driving business growth.

The ideal candidate thrives in a small business environment where “wearing many hats” is the norm. They should bring experience in tech-related or small company settings, where adaptability, initiative, and problem-solving are key.

Key Responsibilities:

Financial Administration

  • Assist with bookkeeping tasks, including vendor bill management, customer invoicing, and expense tracking.
  • Serve as the liaison between internal staff and the external accounting/bookkeeping group.
  • Support QuickBooks and other finance workflows (basic knowledge required; accounting experience a plus).
  • Prepare financial materials in advance of meetings with Finance/Accounting.

Administrative Support

  • Manage routine office tasks such as scheduling shipments, booking travel arrangements, and coordinating field engineers’ accommodations.
  • Track and follow up with subcontracted manufacturers to ensure timely delivery of parts and materials.
  • Provide general executive administrative support to leadership, helping reduce lower-level task load.

Operational Improvements

  • Help standardize and streamline internal workflows for billing, expenses, and vendor management.
  • Research and adopt best practices from third-party consultants to improve admin and finance processes.
  • Support continuous improvement initiatives to increase efficiency and reduce bottlenecks.

Qualifications:

  • Previous experience in a small or fast-paced business environment (preferably in a tech/engineering-related field).
  • Strong organizational skills with the ability to juggle multiple responsibilities and priorities.
  • Basic QuickBooks or bookkeeping knowledge required; exposure to accounting practices a plus.
  • Comfortable liaising with external vendors, subcontractors, and accounting partners.
  • Resourceful, self-starter mindset with the ability to “figure things out” and adopt new tools/workflows.
  • Excellent communication skills, both written and verbal.

Work Schedule & Location:

  • Full-Time position (40 hours per week).
