ABOUT THE JOB

We are seeking an experienced and highly organized Executive Personal Assistant to serve as the primary point of support for a professional athlete with a demanding and dynamic schedule. This role requires discretion, flexibility and the ability to anticipate needs in a fast-paced and constantly changing environment. The ideal candidate will be comfortable managing complex logistics, including private and commercial travel, communicating proactively, and will possess a service-oriented mindset.

The role is based primarily from the principal’s home in Reisterstown, MD, with occasional travel to the West Coast, South Florida, and Hawaii expected throughout the year. While this is not a round-the-clock, in-person support role, availability and responsiveness outside of traditional hours is essential. The successful candidate will be someone who thrives in a support-focused lifestyle role, communicates clearly and frequently, and enjoys the autonomy and trust that comes with being the principal’s right hand.

THE EMPLOYER

The principal is a professional athlete with a mobile lifestyle, balancing athletic performance with media obligations, personal downtime, and personal and work-related travel. While he is supported by a team of agents, coaches, household vendors, and property managers across multiple properties, this role represents his singular point of contact for all things day-to-day. The Executive Personal Assistant will collaborate closely with a variety of stakeholders, while taking full ownership of the logistics and personal needs that keep things moving in real time.

From dinner reservations and schedule coordination to travel prep and last-minute errands, this is a position for someone who leads with initiative, reads the room well, and enjoys operating in a support role that touches every corner of someone’s life.

RESPONSIBILITIES

Schedule & Lifestyle

  • Maintain and optimize a dynamic calendar with full ownership of appointments, training sessions, personal time, travel, and social commitments
  • Coordinate with agents, trainers, sponsors, and family to ensure alignment across time zones and engagements
  • Provide timely reminders to keep the principal focused and on schedule
  • Respond to texts and emails throughout the day, maintaining regular touchpoints to confirm updates, needs, and priorities

Travel

  • Book and manage complex travel across the US and internationally, including commercial and private charters, vehicle rentals, hotel bookings, and activity planning
  • Create and maintain detailed travel briefs with itineraries, packing notes, reservation confirmations, and local recommendations
  • Proactively scout and secure dining reservations, including at high-demand restaurants and in unfamiliar destinations
  • Travel as needed to set up and oversee the use of secondary residences; coordinate with on-site staff property managers to ensure readiness

Personal & Household

  • Manage errands, personal shopping, and special projects with thoughtfulness and efficiency
  • Liaise with household vendors, dog walker, and service providers to ensure consistent support across all domains
  • Keep personal items stocked, vehicles managed, and the home environment running smoothly
  • Support light event coordination, holiday gatherings, and intimate entertaining when needed

Communication & Administration

  • Serve as the primary communication hub across the principal’s personal and professional life
  • Draft and send messages, liaise with external contacts, and filter communications with judgment and speed
  • Track expenses, manage receipts, and provide light oversight on budget-conscious travel and purchasing
  • Maintain shared digital folders, contact lists, and reminders to ensure easy reference and long-term continuity

MUST HAVES

  • Prior experience supporting a high-performance principal
  • Excellent organization: strong in calendar and travel management, project tracking tools (e.g. Trello, Asana, etc.) and productivity apps
  • Assertive communicator who thrives on clarity, speed, and responsiveness, especially via text
  • Able to represent the athlete professionally in both verbal and written communication
  • Comfortable working independently, with high standards and complete follow-through
  • Flexible and unflappable: you don’t mind last-minute shifts or blurred boundaries around time off
  • Natural sense of discretion and judgment, especially when handling sensitive personal or financial information
  • Tech-savvy: Google Workspace, Outlook, expense management software, and productivity apps
  • Valid driver’s license and reliable personal vehicle
  • Willingness to travel domestically, with advanced notice

COMPENSATION & BENEFITS

  • Salary range is $75,000 to $85,000 + sign on bonus
  • Discretionary annual bonus
  • 14 days PTO plus NYSE holidays
  • Travel expenses covered
