Medical Support Assistant (MSA) – Montana VA Health Care System

Schedule: Monday – Friday, 8:00am – 4:30pm (excluding federal holidays)
Duties & Responsibilities
MSAs will serve as designated scheduler/receptionists responsible for appointment coordination and patient communication in compliance with:
· VHA Directive 1230: Outpatient Scheduling Processes and Procedures
· VHA Directive 1232: Consult Management
Key responsibilities include:
· Appointment scheduling, tracking, and pre-/post-visit contacts
· Ensuring compliance with scheduling and consult management directives
· Working with Lead Scheduler to ensure team competence and timely patient communication
· Coordinating and authorizing Veteran care with community providers when VA cannot provide timely care
· Advising internal providers on VA Community Care rules and processes
· Reporting issues when automated systems are not functioning properly
· Validating and updating patient demographic information
· Processing incoming records for integration into CPRS and VistA
· Properly handling consults via HSRM (HealthShare Referral Manager) and PPMS (Provider Profile Management System)
· Screening and answering phone calls courteously and efficiently
· Responding to telephone inquiries related to services
· Using Microsoft Office Suite (Excel, Word, Outlook, Teams) for daily tasks
· Delivering professional, quality customer service to Veterans, families, VA staff, contractors, and providers
· Supporting workload requirements, including on-site direct patient services when needed
· Performing other duties as assigned
Qualifications
· U.S. Citizen / Permanent Resident
· High School Diploma or GED (minimum)
· Oral and written English proficiency
· Basic computer skills (Microsoft Office, Teams, Outlook)
· Ability to type 50 WPM
· Knowledge of basic medical terminology
· No physical/health restrictions interfering with performance of duties
