Job Description

Position Overview

We are seeking a highly organized and detail-oriented Preconstruction Estimator to support our preconstruction team in managing project leads, performing scope take-offs, developing proposals, and overseeing documentation and submittals. The ideal candidate should have experience with estimating software and a strong ability to read and interpret architectural and shop drawings while effectively coordinating with vendors, suppliers, and internal project teams.

Key Responsibilities

1. Project Lead Management

  • Track, manage, and follow up on incoming project leads.
  • Assess project scope, complexity, and alignment with company capabilities.
  • Collaborate with sales and business development teams to qualify leads before proposal initiation.

2. Scope Identification, Onscreen Take-offs & Estimating

  • Utilize estimating software (e.g., Stack, Bluebeam, Planswift, OST, ProEst, RSMeans, or similar tools ) to conduct detailed onscreen take-offs and accurately quantify project scope.
  • Break down identified scopes into structured components for estimating and proposal development.
  • Review architectural plans and specifications to ensure scope accuracy and anticipate potential construction challenges.

3. Proposal Development & Bid Preparation

  • Assist the Estimating Project Manager in creating comprehensive project proposals.
  • Prepare bid packages, incorporating detailed scope, specifications, and project requirements.

4. Documentation & Submittal Management

  • Oversee project-related submittals, ensuring proper documentation, tracking, and timely distribution.
  • Coordinate and manage shop drawings, color samples, and material selections for approval.
  • Prepare and issue transmittals, ensuring correct formatting, distribution, and document tracking.
  • Manage vendor samples, brochures, and material documentation to support project requirements.
  • Communicate with vendors to obtain, verify, and track product documentation and samples.
  • Organize and submit warranty information, maintenance manuals, and as-built drawings for final client handover.

5. Communication & Coordination with Project Teams

  • Serve as a liaison between the Preconstruction and Project Management teams to ensure seamless documentation transfer.
  • Ensure the smooth handoff of all preconstruction materials to project managers.
  • Address project-related inquiries and provide clarifications as needed.

Qualifications & Skills

  • Proficiency in estimating software such as Stack, Bluebeam, Planswift, OST, ProEst, RSMeans, or similar tools
  • Ability to read and interpret architectural and shop drawings
  • Strong organizational and project tracking skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple projects in a fast-paced environment
  • Experience coordinating with vendors, sales teams, and project managers preferred
  • Basic knowledge of construction materials and industry standards is a plus
