PrideStaff Financial has partnered with our client in North Dallas, Texas as they look for a passionate and detail-oriented Payroll Accountant to join their dynamic team, where you will play a pivotal role in managing the payroll and accounting operations for esteemed U.S. clients.
This multifaceted position focuses on overseeing client payroll processes, delivering meticulous bookkeeping, and ensuring strict state tax compliance (excluding income tax). The ideal candidate will bring 2-3 years of relevant experience, hold a bachelor's degree in a related field, and possess a strong familiarity with payroll systems such as ADP, alongside other accounting software like QuickBooks.

About this role:
Payroll Management (40%):
- Take charge of processing and managing payroll information for clients, ensuring precision and deadlines are consistently met.
- Generate comprehensive payroll reports, offering valuable insights into payroll details and liabilities.
- Collaborate with clients during 401(k) audits, preparing essential documentation such as Form 5500 to ensure compliance.
- Partner with clients to design and implement customized benefit plans, leveraging a network of external brokers to provide optimal solutions.
- Serve as the primary liaison with HR managers, fostering strong relationships to facilitate effective communication regarding employee onboarding and personnel changes.
- Proactively notify relevant authorities about any personnel modifications, maintaining compliance with regulatory requirements.
- Undertake payroll simulations and adjustments to align with changing client needs, ensuring accuracy in payroll forecasts.
- Maintain organized and comprehensive employee and company records to ensure ongoing compliance with industry regulations.
- Provide expert advisory support on payroll, human resources matters, and compliance strategies, empowering clients to navigate complex regulations effectively.
Accounting Responsibilities (30%):
- Manage the meticulous posting of incoming invoices and maintain accurate general journal entries to reflect true financial standings.
- Calculate and process reimbursements for travel expenses, ensuring proper protocols are followed.
- Oversee Accounts Receivable and Payable operations, driving timely payments through banking portals.
- Support the month-end closing process, which includes thorough bank reconciliations, accruals, and provisions, contributing to precise financial reporting.
- Manage communication regarding cell phone accounts and various service agreements on behalf of clients, ensuring all needs are promptly addressed.
- Prepare tailored financial statements and reports, adapting to client specifications and helping them make informed decisions.
- Collaborate closely with the president to organize check payments and facilitate smooth mail pickups as necessary.
Tax and Compliance Duties (30%):
- Operate and manage state payroll tax accounts with diligence, handling unemployment and withholding taxes with care.
- Prepare and file quarterly state payroll tax reports, ensuring compliance and accuracy.
- Calculate, declare, and remit clients’ sales and use tax across all relevant jurisdictions, safeguarding compliance with state regulations.
- Oversee the year-end preparation for W-2s and W-3s, as well as the processing of forms I-9 and W-4, ensuring all requirements are met.
- Guarantee ongoing compliance by regularly verifying current accounting and tax regulations with external CPA partners, staying ahead of changes.
- Efficiently handle communications with the IRS and state tax authorities, ensuring client concerns are addressed promptly and professionally.
Qualifications:
- 2-3 years of relevant work experience in payroll and accounting, demonstrating a strong grasp of the intricacies involved.
- A bachelor's degree in accounting, finance, or a related field, reflecting solid foundational knowledge.
- Proficiency and hands-on experience with ADP payroll systems are a must; familiarity with Paylocity is an advantage.
- Competence in accounting software such as QuickBooks and SAP is highly desirable, allowing for efficient processing and reporting.
- A keen eye for detail, combined with the ability to manage multiple tasks effectively, ensuring no deadlines are missed.
