PURCHASING ASSISTANT OPPORTUNITY FOR DIGNEY YORK (DYA)

OPPORTUNITY SNAPSHOT:

The Purchasing Assistant's primary role is to assist the Purchasing Manager and this role is unrestrictive and meant to provide exposure to all facets of the purchasing process. The PA is expected to operate autonomously to achieve project success. Responsibilities include material RFQs, purchase order management, invoicing approval and reconciliation, lead time and shipment tracking, inventory control, coordinating suppliers and managing internal DYA resources.

A DAY IN THE LIFE:

  • Develop, organize, and track material costs and lead times.
  • Prioritize and balance incoming competing demands, incoming materials & customer requirements.
  • Create and manage submittals.
  • Build and strengthen collaborative working relationships with vendors for the goal of delivering products on time and under budget.
  • Utilize Procore and Sage to commit costs, initialize purchase orders, and track and reconcile invoices.
  • Create and enforce vendor terms.
  • Resolve and/or escalate material issues, as necessary.
  • Coordinate and direct the efforts of the suppliers to maintain project schedule.
  • Review vendor invoices for approval.
  • Consolidate, organize & publish close out documentation.
  • Assist with material warranty claims.
  • Complete special projects as assigned.
  • Complete and maintain all required paperwork, records, documents, etc.
  • Follow and comply with all safety and work rules and regulations.
  • Maintain departmental housekeeping standards.
  • Make timely decisions, request assistance when needed with limited on-site supervision.

WHAT YOU NEED TO SUCCEED:

  • Microsoft Office (Word, Excel, & Outlook), intermediate proficiency necessary.
  • Bluebeam or Adobe Acrobat, intermediate proficiency preferred but not required.
  • Well organized and detail oriented.
  • Learning agility, to be able to progressively take on additional responsibility as you learn on the job.
  • Budget conscious and deadline driven.
  • Excellent communication and decision-making skills
  • Experience prioritizing and managing multiple different tasks with competing deadlines.
  • Ability to lead, motivate and manage people and resources.
  • Capable of proactively identifying and resolving issues.
  • Ability to represent the company in a professional manner with high levels of integrity and accountability.

Preferred Skills:

  • Construction experience, 2 years
  • Hotel Renovation Construction, 1 year
  • Experience reading and interpreting project drawings, and specifications.
  • Experience using accounting software, 1 year.
  • Procore, 1 year
